Resource Estimating

Modeling and forecasting personnel needs for clinical studies.

Problem:  A clinical operations group needed to plan headcounts for hundreds of studies.  They were using a combination of spreadsheets, project planning software, calculators, and many resources to gather these estimates.

Solution:  Custom software was implemented in MS Excel that used a model of study resources and a list of studies to automatically calculate resource estimates for the studies. 

Benefits:  What used to take days to complete now takes minutes.  Accuracy and completeness of the resource estimates were dramatically improved and the group can focus on more value added activities.

Study Budget Forecasting

Estimating clinical study budgets and cross study reporting.

Problem:  A client was using MS Excel to forecast clinical study budgets.  There were many people using many spreadsheets to forecast in different ways.  Data was spread across multiple spreadsheets and reporting was impossible due to differences in the way people worked.  The effort to maintain the spreadsheets was so great, they were not updated frequently and not all studies had forecasts.

Solution:  A web-based database driven forecasting tool was built to standardize the forecasting process, capture all data in a central location, and automate the forecasting calculations.  Standard reports can be generated from the database.

Benefits:  The forecasting process has been improved dramatically by standardizing on a tool and a forecasting model.  The effort to maintain the forecasts and create new forecasts has been reduced substantially.  The new reporting capability allows the organization to see across all studies.

Clinical Study Metrics

Creating a standardized reporting process for clinical study data to get a handle on the process.

Problem:  A client did not have any insight into their investigator initiated trial process. From proposal to study, there were no operational metrics or performance data on internal or external processes.

Solution:  Consulting helped to analyze and improve the process. Then, custom software was written in MS Excel to consolidate and report on those process metrics.

Benefits:  Process improvements resulted in headcount reductions and costs savings.  Process metrics are now providing valuable data used to identify bottlenecks in the internal processes.  This data provides feedback that is used to improve the overall quality and effectiveness of the IITs.

Study Budget Tracking

Tracking payment to health care professionals (HCPs) and health care organizations (HCOs) for Sunshine Act reporting and for tracking studies.

Problem:  A client did not have a comprehensive solution for tracking clinical study spending that would provide enough detail to meet the Sunshine Act requirements.  They also used multiple domestic and international systems to track costs associated with their clinical trials.  

Solution:  A hosted, web-based database driven application was developed to capture and track all clinical study spending.  Features from existing systems were incorporated into the new system allowing consolidation of IT resources and business processes.

Benefits:  Compliance with the Sunshine Act, reduction in IT expense, and consolidation of business processes were some of the benefits achieved on this project.  The costumer achieved ROI in less than 12 months by significantly reducing the amount of manual labor used to reconcile payment and budget data.  Retirement of two legacy systems significantly reduced IT operating costs; and switching to a hosted solution allowed a rapid deployment that was not achievable with internal IT resources.

Clinical Epidemiology

Problem:  A client was establishing a new organization to combine clinical epidemiology and heath economics and outcomes research.  They had no tools or processes in place for tracking requests for studies or for tracking studies they were managing.

Solution:  A web-based application for collecting study requests, managing study workflow and tracking study progress was designed and built to support this new organization. 

Benefits:  This new organization started out on the right foot by getting the tools and process in place to support their business.  Metrics provided by the tracking application provides continuous feedback that is used to improve processes and study quality.  Client satisfaction with the new organization is improved through the ease of use of the system and with instant access to the status of their requests. 

Medical Publishing

Problem:  A medical publishing organization was having difficulty tracking and reporting on the status of the publications they were responsible for.  Several people were working full time to collect, verify, and report on the status of publication.  Reports could not be produced in a timely fashion so there was no data for process improvements.

Solution:  A custom solution was written in MS Excel to automate the process of QC checking publishing data, consolidate publishing data across areas, produce metrics reports on the publications as well as on the internal publishing process.

Benefits:  The automation of the consolidation and reporting process reduced the effort from days of work to hours of work, and reports can now be produced on demand at any time.  Metrics reports provided much needed insight into the publishing process and have allowed the publishing organization to improve the process, and make better decisions on the publications that will be pursued.
